1. Terms of Use

1.1. Acceptance

Roomiverse is a compatibility-matching proptech platform that connects landlords with tenants and tenants with co-tenants for the right fit in rental arrangements. Our matching logic uses the information you provide to suggest potentially compatible users to each other. By creating an account or using Roomiverse, you agree to these Terms of Use and our Privacy Policy. If you do not agree, please do not use the platform.

1.2. Eligibility

You must be 18 years or older and legally able to enter into agreements in South Africa to use Roomiverse.

1.3. Accounts

You are responsible for keeping your signup details secure and for all activity on your profile with us. You must give accurate, current information when you sign up with us and make sure to keep it up to date. Only one account per person is allowed. Impersonating someone else, or creating an account for a fake identity, is not allowed (this does not refer to an anonymous profile).

1.4. Anonymous profiles

You may create an anonymous profile by using an alias or abbreviated public profile on the Roomiverse website platform. However, all users are required to provide Roomiverse with accurate and authentic data and indicate which data should not be exposed to the public via Roomiverse's website platform.

1.5. Truthful Information

Listings, profiles, and messages must be honest and accurate. Do not misrepresent who you are, what you are offering, or what you are looking for.

1.6. What Roomiverse is not

Roomiverse is a matching proptech platform. We help landlords, tenants, and co-tenants find and connect with each other. We screen both landlord and tenant users. Landlords are vetted using a platform that contains property data and Know Your Customer (KYC) information (“rental data platform”). Tenants are vetted using the same rental data platform, which provides information about credit checks, employee screening, and affordability data and/or scorecards. We are not a party to any lease, sublease, or co-tenancy agreement you enter into and an insurer, guarantor, or party responsible for rent, deposits, or damages.

Any tenancy, house-share, or other rental arrangement you enter into is between you and the other user(s) directly. You are responsible for doing your own due diligence, drafting or reviewing your own lease/house-share agreement, and complying with the law in relation to rental arrangements.

1.7. Screening

Before users are listed on Roomiverse's website platform, they sign up using Roomiverse's Google form sheets by providing personal information about themselves on the form sheets. Users may sign up as either prospective tenants, prospective landlords, or both. Once a user signs up onto Roomiverse's website platform by submitting a Google form sheet designed by Roomiverse, they can hold only one of three account statuses or badges on the platform: listed profile badge, verified profile badge, and vetted profile badge.

1.7.1.

A listed profile is a user that has given Roomiverse the consent to showcase their information on Roomiverse’s website platform, according to the data inputted by the user on Roomiverse’s sign up Google sheet, and such user has consented to Roomiverse’s Terms of Use, Privacy Policy, Cookie Policy, Community Guidelines, and policies related to the reasonably acceptable use of Roomiverse’s website platform.

1.7.2.

A verified profile is a user who has provided Roomiverse with their identification document to verify their true identity with Roomiverse, and such user has consented to Roomiverse’s Terms of Use, Privacy Policy, Cookie Policy, Community Guidelines, and policies related to the reasonably acceptable use of Roomiverse’s website platform.

1.7.3.

A vetted profile is a user whose details have been provided to third party rental data platforms for further verification of their suitability as a prospective tenant or landlord, and such user has consented to Roomiverse’s Terms of Use, Privacy Policy, Cookie Policy, Community Guidelines, and policies related to the reasonably acceptable use of Roomiverse’s website platform.

1.7.4.

For prospective tenants, rental data platforms will be used to collect information about their identity, credit status or scores, affordability, employment or income verification, and any other information that is relevant to determine a prospective tenant’s suitability for a rental arrangement.

1.7.5.

For prospective landlords, rental data platforms will be used to collect information about their identity, ownership or authorised tenancy status of the property that is listed by them on Roomiverse’s website platform, including the authority to sublet property, and any other information that is relevant to determine a prospective landlord’s suitability for a rental arrangement.

1.7.6.

Roomiverse receives and digitally stores all data and information provided by users after they have submitted a Google form sheet designed by Roomiverse, and receives and digitally stores any data and information about users provided by rental data platforms.

1.7.7.

Roomiverse does not verify that the photograph that a user has uploaded to their profile on its website platform is truly authentic and that the identity documents submitted to it by users in order to hold a verified profile are truly authentic according to the records held by the Department of Home Affairs in South Africa.

1.7.8.

Roomiverse relies on the data and information provided by rental data platforms to confirm the authenticity of users who hold vetted profiles.

1.7.9.

Data and information provided to Roomiverse by users is stored digitally for five years after a profile has been deleted from Roomiverse’s website platform. By keeping their profiles active, users consent to Roomiverse digitally storing, accessing, and using the data and information provided to it by users for Roomiverse’s stated purposes for as long as users’ profiles have not been deleted from the Roomiverse website platform.

1.7.10.

Once a profile has been deleted from Roomiverse’s website platform and a period of five years lapses after the profile’s deletion, Roomiverse will de-identify the data and information associated with such a profile according to the Protection of Personal Information Act 4 of 2013 (“POPIA”). The remaining data and information after de-identification will be stored for research purposes.

1.7.11.

Listed, verified, and vetted profiles on Roomiverse’s website platform are not a guarantee of any user’s honesty, solvency, safety and suitability as a tenant or landlord.

1.7.12.

By using Roomiverse’s website platform, users confirm that they own or are entitled to use photographs and other uploaded content associated with their profiles, which has either been attached to Roomiverse’s Google form sign up sheet or uploaded onto Roomiverse’s website platform.

1.8. Listings and Matching

Landlords and existing tenants may create listings for available rooms/spaces. Roomiverse's matching function helps surface potentially compatible users to each other based on the preferences and information you provide. We do not guarantee that you will be matched, that a match will lead to a viewing, or that any tenancy or transaction will result. We do not guarantee the ultimate compatibility, character, solvency, or reliability of any other user.

1.9. Verification: What We Don't Promise

Where we perform any identity or information checks on users, these are limited checks for stated purposes only and are not a guarantee of a person's honesty, safety, financial standing, or suitability as a tenant, landlord, or housemate.

1.10. User Responsibilities

You agree to:

1.11. Prohibited Behaviour

You may not:

1.12. Intellectual Property

Roomiverse's name, logo, platform design, and content belong to Roomiverse (Pty) Ltd or our licensors. You keep ownership of content you post (e.g. listing photographs and descriptions), but grant us a licence to display it on our website platform for the purpose of operating Roomiverse.

1.13. Suspension and Termination

We may suspend or terminate accounts that breach these Terms, engage in prohibited behaviour, or pose a risk to other users. You may close your account at any time.

1.14. Liability

Nothing in these Terms limits liability that cannot lawfully be limited under South African law, including under the Consumer Protection Act 68 of 2008 (“CPA”). Subject to that:

1.15. Disputes and Governing Law

These Terms are governed by the laws of South Africa. We encourage users to try to resolve disputes with us informally first by contacting hello@roomiverse.co.za.

1.16. Changes to These Terms

We may update these Terms as Roomiverse develops. We'll notify you of material changes within five working days after updating the Terms.

1.17. Complaints Procedure

If you're unhappy with how we've handled your data according to these Terms, please reach out to us at hello@roomiverse.co.za. We will respond to your complaint within 15 business days. If you are still unhappy with us or how we dealt with your complaint after you reached out to us and have first heard from us, then you can lodge a complaint with the Information Regulator (South Africa) through its online portal at inforegulator.org.za, or email enquiries@inforegulator.org.za.

3. Cookie Policy

What are cookies?

Cookies are small files stored on your device that let websites remember information about your visit, like keeping you logged in or remembering your preferences. For more information about cookies, see All About Cookies.

Essential cookies / local storage

Roomiverse uses Supabase for authentication and data. Supabase Auth typically stores a session in your browser via cookies or local storage, depending on configuration, so you stay logged in between visits. This is strictly necessary; without it, you'd have to log in on every page.

Managing cookies

You can control or delete cookies through your browser settings, and clear local storage via your browser's site-data settings. Blocking or clearing essential storage will log you out and may stop parts of Roomiverse from working until you sign in again.

Changes to this policy

We may occasionally make changes to this policy. When we make material changes to this policy, we will inform you by placing a notice on this website.

4. Community Guidelines

Welcome to Roomiverse! We're building a platform where people can find genuine, safe co-living matches. Here's what we expect from everyone:

Own a rental property? See how Roomiverse protects it

Listing your property on Roomiverse means putting your information in front of strangers. We get that, and we've built the platform with that risk in mind.

Your listing isn't broadcast to everyone. Roomiverse's matching function shows your property to people whose stated preferences fit what you're offering, rather than exposing your details randomly. You control what appears on your listing and can update or remove it at any time.

Every user creates an account under our Terms of Use, which prohibit fraud, impersonation, harassment, and fake documents; and we act on reports of any of these. If something looks wrong with a listing, message, or user, you can report it directly, and we review reports.

We handle your personal information under South Africa's data protection law, the Protection of Personal Information Act 4 of 2013 (“POPIA”), sharing only what's needed for matching.

Roomiverse doesn't replace your own judgement. We're a matching platform, not an all-around comprehensive background-check service, insurer, or party to your lease, so we recommend you still meet prospective tenants, verify details that matter to you, and use a proper written lease agreement. Our tools reduce risk; they don't remove the need for your own due diligence.
