Who we are

Roomiverse is a Cape Town matching service for tenants, co-tenants and landlords. We are the responsible party for the personal information you share with us through this website, our sign-up forms, email, phone and WhatsApp.

Our office is at Unit 1A, Block A, Aintree Park, Kenilworth, Cape Town, 7708. You can reach us at hello@roomiverse.co.za.

What we collect

We only ask for what we need to find you a good match and to keep everyone safe.

• Tenants and roomies: your name, contact details, age range, the areas you are looking in, your budget, how you live (routines, habits, pets, household preferences), and the documents we need for vetting, such as ID and proof of income.
• Landlords: your name, contact details, details and photos of the property, and proof that you own the property or are its main lessee.
• Profiles on this site: a first name, a photo, an area and a short description, only when you have agreed to be shown.
• When you contact us: what you send through the contact form, email, phone or WhatsApp, and your newsletter sign-up if you choose to subscribe.

How we use it

• To match tenants, co-tenants and landlords on lifestyle and household fit as well as budget and area.
• To vet tenants and verify landlords before anyone meets.
• To arrange introductions and meets, online or at our office.
• To reply to you, send updates you asked for, and send our newsletter if you subscribed.
• To meet our legal obligations.

We process your information with your consent, to take the steps you asked us to take, or where the law allows it. You can withdraw your consent at any time.

Who sees it

We never sell your information. We share it only when it is needed to make a match work, and only with your permission:

• Your potential match: the details they need to decide whether to meet you. Full contact details are only shared once both sides agree.
• Vetting partners: credit and tenant screening bureaus, only with your consent and only for vetting.
• Service providers: trusted tools we use to run Roomiverse, such as form, email, website hosting and map services. Some of these store information outside South Africa, and we only use providers that protect it to a standard POPIA accepts.

We do not show addresses on this website, and remote landlords are never named.

Keeping it safe

We limit access to the people at Roomiverse who need it, use secure, password protected systems, and keep vetting documents separate from public profiles. We keep your information only for as long as we need it for matching, vetting or legal reasons, and then delete it.

This website does not use advertising or tracking cookies. If you open the map, the map provider may set its own cookies.

Your rights

Under POPIA you can:

• Ask what personal information we hold about you and get a copy.
• Ask us to correct or update it.
• Ask us to delete it, or to take your profile off the site.
• Object to us using it, or withdraw your consent.
• Unsubscribe from our newsletter at any time.

If you are not happy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Regulator at inforegulator.org.za.
